Share a Database with Friends, Family or Colleagues

This guide describes the easiest way to share databases with others using Strongbox Sync. If you do not store your database on Strongbox Sync then you will need to find another way to enable the sharing of your database file using your storage providers individual mechanism.

NB: It is essential that you are logged into your Apple account on your device for Strongbox Sync to be available. Check System Settings > Apple ID/Account.

Step 1 - Get started with a new database

To get started, create a new database stored on Strongbox Sync. This is the default so it should be very straightforward. If you already have a database you'd like to share, then skip ahead to step 2 below, as long as it is stored on Strongbox Sync.

On iOS
  1. Tap the '+' button in the top right corner
  2. Tap 'New Database'
  3. Tap 'Strongbox Sync' (if it is not available, see the above note about your Apple account)
  4. Enter a database name (e.g. My Shared Database) and a good strong master password.
  5. Tap 'Create'
On macOS
  1. In the menu bar at the very top of your screen, click File > New
  2. On the New Database screen you can leave the default “Strongbox Sync” selected and click the blue Select ‘Strongbox Sync’ button at the bottom
  3. Enter a name for your database, such as ‘Kelley’s Database’ or ‘Personal’.
  4. Create a strong and memorable master password (see below) and click OK.
  5. You have now created a new database, and you will be prompted for your master password to Unlock it. Go ahead and do so.

Step 2 - Share with others

On iOS
  1. Long Tap (Tap & Hold) on your database.
  2. Tap 'Share...'
  3. You will now be presented with different methods to invite people to join you in sharing your database. You can send the invitation by iMessage or email, or simply just by using a link. Choose the most convenient method for you.
  4. Enter the Apple ID/account of the person you wish to share with when asked to create a link.
  5. Tap 'Share Link'
  6. You will now be directed to send the invitation using the method you chose in step 3 above. Go ahead and send the invitation.
  7. The person you wish to share with should now have received an invitation link. Once they click on this link they will be asked to accept your invitation, and they will then have access to this database.
On macOS
  1. Activate the Databases Manager window by going to the View > Databases Manager menu item on the top of your screen (or hit Cmd + D)
  2. Right/Alt click on the database you would like to share.
  3. Click 'Share...'
  4. You will now be presented with different methods to invite people to join you in sharing your database. You can send the invitation by iMessage or email, or simply just by using a link. Choose the most convenient method for you. We often find Copy Link is the easiest.
  5. Enter the Apple ID/account of the person you wish to share with when asked to create a link.
  6. Click 'Share'. Note, sometimes this can fail the first time you try it, we believe this is an Apple bug. If so, right click on the database again and choose 'Manage Sharing...' and go to step 4.
  7. You will now be directed to send the invitation using the method you chose in step 3 above. Go ahead and send the invitation.
  8. The person you wish to share with should now have received an invitation link. Once they click on this link they will be asked to accept your invitation, and they will then have access to this database.

That's it, you can now edit, view and manage the database along with other people.
